CANCELLATION & REFUND POLICY
Sarada Mandiram (Mandiram Kochi)

At Sarada Mandiram (operating under the registered business name Mandiram Kochi), we understand that travel plans can change unexpectedly. To ensure clarity, transparency, and a mutually fair booking system, we have established the following Cancellation and Refund Policy. This policy applies to all direct reservations made via our website (https://saradamandiram.com/), telephone desk, or email channels.
1. Standard Cancellation Timeline & Charges
For standard, flexible room rates, the cancellation charges vary depending on the timeframe in which the request is officially received prior to your scheduled check-in time (14:00 hrs / 2:00 PM standard local time):

72 hours or more before check-in: Free Cancellation. A 100% refund of any advance deposit processed will be issued.

Between 24 to 72 hours before check-in: A cancellation penalty equivalent to 50% of the first night’s room tariff will be retained by the hotel.

Less than 24 hours before check-in: A cancellation penalty equivalent to 100% of the first night’s room tariff will be retained by the hotel.

No-Show (Failure to arrive without prior notice): 100% of the first night’s tariff (or the entire stay duration if booked under a non-refundable rate) is completely forfeited.
2. Non-Refundable & Promotional Rates
Please note that reservations made under explicit promotional discounts, seasonal vouchers, or “Non-Refundable Rate” frameworks are excluded from the standard timeline above. Once confirmed, these bookings cannot be modified, cancelled, or refunded under any circumstance. Full advance payments for these rates will be processed and completely retained by the Hotel.
3. Group Bookings & Peak Season Policies

Group Reservations: Group bookings (defined as reservations of 4 or more rooms under a single event or coordinator name) are subject to bespoke contractual cancellation clauses communicated via email at the time of inventory allocation.

Peak Season/Festivals: During high-occupancy regional peak timelines (including but not limited to Diwali, Christmas, New Year, and prominent local holidays), a strict 14-day advance cancellation window applies. Cancellations made inside this 14-day threshold will incur a 100% retention charge for the entire booked stay duration.
4. Amendment and Modification Guidelines

Guests may request a modification to their stay dates up to 48 hours prior to arrival, strictly subject to room availability, seasonality adjustments, and applicable tariff changes.

Shortening a stay during the active occupation of the room (early check-out) is subject to a 1-night room tariff retention penalty. The remaining balance (if any) will be evaluated on a case-by-case basis.
5. Institutional Refund Mechanism

Original Payment Channel: Approved refunds will be reversed explicitly through the exact online pathway or digital gateway channel (UPI, Net Banking, Credit/Debit Card processor) used to fund the initial booking invoice under our structural business account: GSTIN 32ACCFM3632Q1Z2.

Processing Timeline: Once an official cancellation request is authorized and processed by our desk, the funds typically require 7 to 10 banking business days to credit back into your financial statement, depending on your card issuer or banking partner.
6. Force Majeure & Exceptional Circumstances
In the rare event of extreme, unpreventable situations—including severe natural disasters, catastrophic weather conditions in Kochi, sweeping government-mandated travel restrictions, or public health lockdowns—the hotel will waive standard cancellation penalties. Instead, a flexible Credit Voucher valid for redemption across a future stay timeline within 12 months will be issued.
